A homeowner calls while you're on a roof. A form submission lands somewhere nobody checks. A completed job never turns into a review request. The problem is often a gap between the customer's next step and your team's daily routine.
We look at that gap first. Depending on your tools and the agreed scope, the answer may be missed-call acknowledgement, a better intake form, an owner alert, a review-request process, or appointment reminders. Not every business needs every system.
Missed-Call Recovery
When you can't answer, a short acknowledgement can give the caller a next step while you finish the job. The narrow workflow is straightforward:
- An eligible missed call triggers a client-approved text
- An internal notification alerts you where useful
- You take over the conversation when you're available
We work around your existing phone setup where practical. Routing, message wording, registration, and testing depend on that setup. This acknowledgement does not replace your responsibility to call back or manage the sale.
Lead Intake & Owner Alerts
A useful inquiry form collects the details you need to respond: contact information, service address where relevant, the problem or service requested, and how the customer found you.
BOSS can scope a branded intake path that creates or updates the contact, alerts the right person, and hands the request to a task or pipeline when appropriate. The goal is a request your team can act on without chasing the same details across texts, DMs, and email.
Review Requests That Get Sent
A simple, consistent review-request process is part of the BOSS subscription baseline. We establish when to ask, what to say, and which review link to use. If your existing system can send requests and a limited reminder, we evaluate that option with you.
More advanced review automation is separately scoped. We never filter requests to favor positive reviews, and we don't promise a particular review count or rating.
Appointment Confirmations & Reminders
For estimates, consultations, or scheduled calls, BOSS can scope a booking process with owner and guest confirmations, email or SMS reminders, and clear reschedule and cancellation handling.
Calendar coordination and meeting links can be included when the platform supports them. The booking path and notifications are tested before launch.
Keep the Systems That Work
You don't have to move to a new CRM just to improve follow-up. We review your phone, forms, scheduler, and CRM, then decide what to keep, connect, add, or replace. Replacement needs a business reason.
That can include contact organization, source tagging, a clearer pipeline, or a limited follow-up sequence with a defined stopping point. Larger migrations, complex integrations, AI systems, and advanced automation require separate evaluation and scope.
Know What's Included Before Work Starts
Some simple configuration and coordination may fit your Growth program. A new system or substantial automation build is not automatically included because the software can do it. Your scope identifies the work, who handles replies and exceptions, ongoing support, and any material usage costs.
We review the current process, identify the missing step, build the agreed solution, and test the handoff. Then we measure the activity that helps you manage it, such as incoming requests, response timing, or appointment outcomes, where the available systems support that measurement.
